As part of the Primary Healthcare Program (PHC), PATH’s HIV, Tuberculosis, and Viral Hepatitis (HIV/TB/VH) portfolio oversees and supports projects in multiple countries across Africa, Asia, and Eastern Europe to introduce, refine, and scale new health technologies and people-centered service delivery models to enhance the accessibility, uptake, and continuity in HIV, TB, and VH services across the continuums of care while contributing to strengthened integrated health delivery platforms that ensure health for all. PATH is seeking a Program Assistant (PA) to provide administrative, operational, and project/new business coordination support to ongoing HIV/TB/VH projects and the overall HIV/TB/VH portfolio. The PA will report to the Senior Technical Advisor—HIV/VH and be based in PATH’s Washington, DC office.

Responsibilities:  

  • Provide coordination and administrative support to assigned projects, comprising:
    • Maintain project calendars by managing recurring project meetings and scheduling ad hoc internal and external (donor/partner) meetings, including supporting agenda preparation, development of meeting materials, and note-taking
    • Tracking and assisting with management of project deliverables (e.g., work plans; reports), including drafting document management tools (RACIs; templates; development calendars); compiling inputs for deliverable sections; shepherding drafts through the development process; copy-editing deliverable drafts; and ensuring proofreading is completed, including proofreading deliverables (as needed)
    • Maintain project deliverable trackers in coordination with Project Coordinators/Leads or Project Administrators to ensure deliverable deadlines are met and submitted deliverables appropriately archived in project electronic files and Salesforce
    • Assist Project Administrators by following up and supporting travel expense reimbursements, entering vendor/consultant invoices for payment, and payment/expense tracking
    • Support Project Coordinators/Leads to update workplan trackers to ensure that planned project activities are progressing and completed accordingly to established timelines
    • Support activities led by technical staff by contributing to research, analysis, and/or content development
  • Assist with project and/or HIV/TB/VH team communications tasks, including researching dissemination channels; compiling and/or supporting development of content for success stories, internal posts/newsletters, social media posts (e.g., Tweets; Facebook posts etc.), and/or slide decks; proofreading materials; liaising with PATH’s External Affairs team on document review and dissemination; and/or social media monitoring
  • Assist with HIV/TB/VH team or project online/in-person event coordination and logistics
  • Support coordination of organizational presence at HIV, TB, or VH-related regional and global convenings (e.g., International AIDS Conference; Union World Conference on Lung Health), including coordinating internal abstract and poster/presentation review and submission processes; supporting and tracking conference registration; and coordinating with project teams and PATH’s External Affairs team to amplify conference presence through social media and other external-facing communications
  • Provide administrative support for HIV/TB/VH business development efforts, including keeping the team business development tracker up-to-date and working with the HIV/TB/VH Administrator to maintain opportunity records on Salesforce
  • Support HIV/TB/VH business development efforts in a proposal assistant, including but not limited to supporting the compilation of required forms or proposal inputs; formatting personnel biosketches and curriculum vitaes; assisting with drafting organizational capacity and experience statements; and conducting desk research to inform positioning efforts and/or proposal sections
  • Provide meeting scheduling and logistical support for the HIV/TB/VH team, including scheduling HIV/TB/VH or external donor/partner team meetings, identifying and coordinating with meeting facilitators/leads on meeting preparations and required materials, taking meeting notes, and following up on next steps post-meeting (as requested)
  • Support HIV/TB/VH team leadership with the collection and synthesis of requested inputs from organizational leadership
  • Maintain listservs/email distribution/ lists, Microsoft Teams channels, and electronic filing systems (including archiving critical project or team documents on Box, Sharepoint, and other file-sharing systems) for the HIV/TB/VH team and assigned projects
  • Assist with the completion of administrative forms or support travel logistics on behalf of the HIV/TB/VH team or assigned project teams, as requested
  • Perform other tasks, as assigned and in alignment with team priorities 

Required Experience:

  • Bachelor’s degree in public health, international studies, gender studies, or a related field plus a minimum of two years of relevant work experience OR an equivalent combination of education and experience; preference for experience in an international organization or multicultural environment, preferably with a health or development focus
  • Excellent communication skills (written, oral, interpersonal), with prior experience copy-editing and proofreading strongly preferred
  • Demonstrated ability to manage coordination and administrative tasks across multiple activities, with excellent attention-to-detail and organizational skills; prompt follow-up to resolve encountered barriers; and focus on meeting deadlines
  • Ability to think creatively to help organize information, coordinate workflows, and inform improvements to administrative/operational systems and processes
  • Experience working collaboratively with diverse teams and interface effectively with internal and external stakeholders
  • Knowledge of and/or keen interest in exploring a career in global health, specifically related to HIV, TB, or VH
  • Strong command of Microsoft Office suite and video conferencing software, especially Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Zoom and a working knowledge of SharePoint, Smartsheet, Salesforce, and Box preferred. Candidates should also be comfortable learning new software and information systems
  • Quantitative skills, including experience manipulating spreadsheets, is a plus
  • Must have legal authorization to work in the U.S.

We offer our employees a competitive salary and generous benefits. For candidates based in the U.S., the annual salary range for this position is $44,000 – $55,000. The final salary is based on a variety of objective factors.
